Here is a guide on how to create board members and external persons, and assign roles and bank access in the report:
People/Board
Go into the report and click on the first point under "On behalf of the association," which is called "People":
Who is on the board?
When you are in the "People" section, you will first enter "The Board." Here you need to create each board member one by one. To create a board member, click on "+ create a new board member."
Register new member
To create a board member, you will need the full name, email address, mobile number, and the role the person holds on the board.
Once you have created all board members, click the blue "Approve board" button. After that, you will move on to step two of the "People" section.
External people
Step two is about "External people." Here, you need to create those who are not eligible to vote and are therefore external. These are the people who will follow the board's work from the sidelines. Create both those who will have powers of attorney and those who will not. Alternates should not be created here; they are created under "The Board."
Click the cross in the blue circle to create the person with their contact details and assign roles. Once you have created all external persons, click the blue "Approve" button at the bottom.
When are the board members invited?
After you, as the reporter, have completed the entire report and signed it with MitID, it will take 10 minutes for the members to be automatically invited into the system. During these 10 minutes, you will have the opportunity to send a message to the members. This option automatically opens once you have signed. We have formulated a message for you, but you can rewrite it if you prefer to write something else. Additionally, the 10 minutes give you time to reconsider and reopen the report if you realize something was done incorrectly.
The board members will be invited to the system via email and SMS with a link they need to follow.
REMEMBER: Once the reporter and/or other board members have signed the report, no changes can be made. If you open it up to make changes, the previous signatures will be lost, as they will need to sign again for the changes made.
