If a board member regrets joining the board at a time before the reporting process is fully completed and no longer wishes to remain on the board, the following steps must be taken:
Stop the report: As the reporter, go to "Reporting", where you will see that you have signed. At the bottom, in a white bar, you will find the option to "View report". Click on this to access the reporting page. At the top, you will see "Stop reporting". When you stop the report, all sections will reopen, showing either red exclamation marks or green checkmarks. Stopping the report does not delete any information, only the signatures are lost, meaning those who had already signed will need to sign again. Read more about stopping the report here.
Make the necessary changes: Once the report is open, go to "People" at the top of the checklist and remove the board member who is resigning. If a new member is replacing them, you can add them here as well. Make sure to assign the correct roles, as removing a board member may affect role distribution within the board.
Approve and sign: After the reporter has signed, all remaining board members must sign again, even those who had signed before the changes were made.
Does a new meeting report need to be uploaded?
A new meeting report is only required if an extraordinary general meeting was held to confirm the resignation. Otherwise, the remaining board members confirm their approval of the resignation when they sign with MitID in the reporting process.
