When is the General Assembly Called?

It is typically called no later than 3-5 months after the end of the fiscal year. However, it varies from association to association when it should be held during the year. If the general assembly is called too late according to the formal requirements in the bylaws, a new one must be called, as the general assembly is not valid in this case. In special cases, the chairperson may ask the general assembly if they are willing to overlook the formal requirements in the bylaws. Additionally, the bylaws should state how long before a general assembly one must call for it, but it is typically 30 days before.

Notice of General Assembly

The notice/invitation to the general assembly must include the following:

  • Where and when the general assembly will be held

  • It may also state the deadline for registration if you want an overview of how much catering and how many chairs are needed. However, be aware that the registration deadline should be as close to the meeting as possible, as people tend to register at the last minute.

  • The agenda for the meeting. Read more about what the agenda should include here.

  • Check the bylaws to see if your association has other requirements for the notice.
