Reminders

When it’s time to report in the month after the association's general meeting or when the financial institution invites the association to Unioo, an automatic reminder flow is triggered. This flow consists of SMS messages and emails explaining what you are required to do and why. Most will also contain a link you need to follow to complete the reporting.

Remember to read carefully

It’s important that you read these messages thoroughly because we send them out to you because there’s something you need to act on regarding the reporting. We inform and guide you in the reminders as well as within the system when you start the reporting process.

You can stop the reminders by doing what is requested.

No time to report?

If you are receiving reminders by mistake because you haven’t just held a general meeting or haven’t just been invited, it’s probably because the wrong month for the general meeting was entered when the association was created. Please contact us at Unioo at [email protected], so we can help you correct the month and update the association until then.

I’m no longer part of the association

If you receive reminders even though you’ve left the board, it’s likely because no report has been made since your departure. Your departure only takes effect in Unioo once all remaining and new board members have signed the report with your departure. You will therefore continue to receive messages until the report is completed. Ignore them.

If you're sure the report has been made (e.g., it’s been over a year since your departure), please contact the current board members so they can sort out your departure. You can’t remove yourself from Unioo on your own—it must be done by one of the other members.

The association no longer exists

If the association has been dissolved or moved to another financial institution, the association must contact the financial institution. Some financial institutions require a report when closing, others do not. So, make an agreement with the financial institution on what needs to be done. If the financial institution has confirmed your closure but you continue to receive messages, just ignore them, as the departure in Unioo is most likely in progress. If the messages persist unreasonably long after the financial institution has confirmed your closure, you should contact them to confirm that they are processing the closure. At Unioo, we can’t do anything—it’s the financial institution that closes your Unioo account.

No panic

It may seem like a lot of messages to receive once the reporting period starts. But you shouldn’t let yourself get stressed or frustrated as long as you strive to do what is requested. The further along you are in the flow, the more the reminders take the form of warnings. This is because failing to complete the report can have consequences for the association’s bank account. If you’re unsure whether you can make it in time, you can contact the association’s financial institution and possibly request an extension. If you have a clear agreement with the financial institution but still receive reminders, don’t stress. Just ignore them—they are sent as part of an automated flow designed to help you remember what you need to do.

Why?

It may seem like a lot with everything you need to do to operate your association legally. And it kind of is. But financial institutions wouldn’t ask for all this data if failing to provide it didn’t have far-reaching consequences for them. The financial institutions are simply following the law.
