External reporters are NOT recommended
We do not recommend that associations have others submit reports on their behalf, as it is intended for the association members themselves to report on behalf of both themselves and the association. If assistance is needed, we recommend helping with the following:
Drafting/finding statutes, the most recent financial statement, and minutes from the general assembly, and converting them into PDFs for easy upload.
Sitting alongside and assisting them with filling out the report (e.g., business volume).
Providing technical assistance if the association members are less familiar with digital tools.
The association can find plenty of help within the system during the reporting process, as well as numerous informative and helpful articles on our support page. We are also available through customer service to assist.
If the association insists on using an external reporter, here are the solutions:
External reporter
If the reporter is external, the current solution is as follows, where you either continue in the board or become part of it (without voting rights):
Register yourself as a board member with the roles "Other" and "External." Simply approve that the number of board members deviates from what is specified. Unioo and your financial institution are aware that you are not considered a true board member when you assign yourself these roles. Once registered, proceed with the reporting and sign it.
External administration companies
If you are an administration company with several employees who may potentially handle the association's reporting, you should still register each employee individually (with their own login, etc.) instead of creating a single login for all employees. Since MitID signatures and document uploads are required, it is essential that each individual is registered personally.
If you are submitting the report on behalf of an association, one of you must be registered as a board member. The person must NOT register under "External Persons," but as part of the actual board. The registered employee should assign themselves the roles "Other" and "External." This follows the same procedure as described in the section above.
